Job Summary

The Municipal Court Clerk is responsible for administering the daily operations of the City of Maize Municipal Court. This position performs a variety of highly responsible clerical, financial, and administrative duties while maintaining court records, processing citations, collecting fines and fees, preparing court dockets, and ensuring compliance with applicable federal, state, and local laws. The Municipal Court Clerk serves as the primary point of contact for the Municipal Court and must exercise sound judgment, maintain strict confidentiality, and provide exceptional customer service to the public, attorneys, law enforcement personnel, and court officials.

Essential Duties and Responsibilities

  • Maintain accurate and confidential municipal court records in accordance with Kansas law and court procedures.
  • Process citations from filing through final disposition.
  • Prepare court calendars, dockets, notices, warrants, and related court documents.
  • Attend all Municipal Court sessions and assist the Municipal Judge with court proceedings.
  • Monitor diversion agreements, probation requirements, restitution payments, and payment plans.
  • Process warrant entries, modifications, and removals through the appropriate state and federal criminal justice information systems.
  • Prepare and submit debt set-off information to the State of Kansas.
  • Coordinate communications with the Municipal Judge, City Prosecutor, law enforcement agencies, attorneys, and other governmental entities.
  • Maintain knowledge of changes in municipal court laws, procedures, and Kansas judicial requirements.
  • Respond to inquiries from the public while maintaining professionalism and confidentiality.
  • Prepare reports and correspondence as requested.
  • Provide excellent customer service while promoting a positive image of the City.
  • Perform other duties as assigned.

  • Knowledge of municipal court procedures or the ability to learn quickly.

  • Ability to accurately maintain confidential records.
  • Ability to interpret policies, procedures, and legal documents.
  • Excellent written and verbal communication skills.
  • Strong customer service and conflict resolution skills.
  • Ability to prioritize multiple assignments and meet deadlines.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and the ability to learn court management software.
  • Ability to work independently while exercising sound judgment and discretion.
  • Ability to establish and maintain effective working relationships with employees, elected officials, law enforcement personnel, attorneys, and the public.

Education and Experience

Required

  • High school diploma or GED required.
  • Three (3) years of progressively responsible administrative or clerical experience required.
  • Must successfully pass fingerprint-based screening and maintain eligibility for access to the Kansas Criminal Justice Information System (KCJIS) and all applicable criminal justice databases.

Preferred

  • Associate degree in Criminal Justice, Public Administration, Business Administration, Accounting, or a related field preferred.
  • Previous Municipal Court or court administration experience is strongly preferred.
  • Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.

Pay: $20.04 - $28.32 per hour
