Under the supervision of the City Administrator, The City Administration Assistant is responsible for providing support to the City Administrator by providing a variety of specialized complex administrative work and research while exercising autonomy and sound judgment over assigned tasks. This position also assists with developing, managing, and integrating the city’s communications and media initiatives into a cohesive effort that conveys a consistent message in support of the city’s mission, strategic goals, and objectives.

Experience: Two (2) years of related experience or equivalent combination of education and experience.  

Education: High School Diploma or equivalent. College degree preferred.

POSITION SUMMARY

Under the supervision of the City Administrator, The City Administration Assistant is responsible for providing support to the City Administrator by providing a variety of specialized complex administrative work and research while exercising autonomy and sound judgment over assigned tasks. This position also assists with developing, managing, and integrating the city’s communications and media initiatives into a cohesive effort that conveys a consistent message in support of the city’s mission, strategic goals, and objectives.

 ·                     Supports the City Administrator with various meetings, monitoring any pending items and keeping the City Administrator informed about projects and issues of importance to the City Council. Provides the City Administrator with accurate and timely information to support decision-making and policy direction.

·                     Conducts complex and sensitive administrative, operational, and management analyses, studies, and research projects including those involving City-wide issues, programs, policies, and procedures; selects, adapts, and applies appropriate research and statistical techniques; gathers and analyzes data and information from various sources on a variety of specialized topics.

·                     Manages special projects and ensures implementation of programs developed and initiated by the City Administrator. May direct the development of programs to address citizen needs to include citizen involvement. Coordinates with             Department Heads or other appropriate parties to respond to citizen inquiries.

·                     Encourages and leads collaboratively in seeking new ways to share resources, ideas, and best practices to optimize city-wide service delivery.

·                     Performs both assigned and independent staff work, skilled administrative and operational duties, such as preparation of reports, feasibility studies, complex research projects, grant writing, program development, and meetings.

·                     Drafts letters, memorandums, and other necessary documents for the City Administrator.

·                     Assists the City Clerk with agendas, minutes, and postings for various meetings.

·                     Assists development and implementation of communication and marketing plans and strategies, ensuring high-quality and creative campaigns for the City.

·                     Creates, coordinates, and monitors press and social media presence, maximizing opportunities for impact.

·                     Acts as Liaison with Community Relations Board. Coordinates and markets city-wide events and any community programs that will generate a positive impact and enrich the lives of our community members and visitors.

·                     Assists in management of the City's various pages by developing and posting content, while maintaining a consistent writing style, voice, and branding across platforms.

·                     Develops shareable content-driven stories, posts, and live shots for social media, websites, and other media platforms. Creates visually appealing content, to increase engagement on social media. Monitors and engages with the audience, responding to comments and messages promptly.

·                     Develops and maintains excellent relationships across the range of our stakeholders.

·                     Orders applicable supplies and materials as directed. Orders and picks up food and drinks for the City Council meetings.

·                     Follows department policies and procedures.

·                     Follows safety procedures and practices.

·                     Performs other duties as deemed necessary or assigned.

 CITY ADMINISTRTION ASSISTANT

POSITION REQUIREMENTS

Experience: Two (2) years of related experience or equivalent combination of education and experience.  

Education: High School Diploma or equivalent. College degree preferred.

Technical Skills:  Must be highly proficient in Microsoft Office Suite. This employee must be able to efficiently operate computers, printers, telephone systems, photocopiers, and other office equipment. Have the ability to interpret data, follow department policies and procedures, and read and interpret written instructions, financial statements, reports, and other official documents is required. This employee must be highly accurate, detail-oriented, and possess strong accounting, organizational, public relations, and oral and written communication skills.

Problem Solving: Problem solving is a factor in this position. This employee encounters problems with errors in ledgers, data entry errors, and miscoded invoices. Serious problems are reported to the Finance Director.

Decision Making: Some decision making is involved in this position. This employee makes decisions about prioritizing daily work assignments and performing daily duties in the most efficient manner.

Supervision: This position is subject to supervision from the City Administrator. Does not have supervisory responsibilities over subordinate personnel.

Personal Relations: Frequent contact with the general public, co-workers, and supervisory personnel, and occasional contact with the organization's governing body is expected.

Working Conditions: No adverse working conditions exist within this position. Working in an office setting with a computer is the primary aspect of this position.

Physical Requirements: Physical activity associated with working in an office setting is required to perform the daily duties of this position.
